These Terms and Conditions govern the hire of photo booths, backdrops, props, and associated services from Prime Booth Ltd. By booking our services, you agree to the following:

1. Definitions

Ć¢Ā€ĀœWeĆ¢Ā€Ā / Ć¢Ā€ĀœUsĆ¢Ā€Ā / Ć¢Ā€ĀœSupplierĆ¢Ā€Ā – Prime Booth Ltd (Company No. 16353864), registered in England and Wales.

Ć¢Ā€ĀœClientĆ¢Ā€Ā / Ć¢Ā€ĀœYouĆ¢Ā€Ā / Ć¢Ā€ĀœHirerĆ¢Ā€Ā – The individual or organisation booking the hire services.

Ć¢Ā€ĀœEventĆ¢Ā€Ā – The date and location outlined in the booking confirmation.

Ć¢Ā€ĀœEquipmentĆ¢Ā€Ā – All items provided, including photo booths, lighting, props, backdrops, and digital services.

2. Booking & Payment

A 25% deposit is required to secure your booking. This is non-refundable under all circumstances.

The remaining balance must be paid in full no later than 30 days before your event. Failure to pay on time may result in cancellation without refund.

Bookings made within 30 days of the event must be paid in full at the time of booking.

3. Cancellation Policy

Cancellations made more than 30 days before the event: deposit is retained; no further balance is due.

Cancellations made fewer than 30 days before the event: the full balance is payable and non-refundable.

Requests to change the date are subject to availability and must be made in writing at least 30 days prior to the event.

4. Equipment Setup & Use

The Client must ensure a clear, level space (minimum 3m x 3m) with access to power sockets.

Prime Booth is not liable for delays or failure to deliver services due to unsuitable venue conditions.

Unless otherwise agreed, setup and breakdown time is outside of the operational hire period.

5. Conduct & Safety

You are responsible for ensuring your guests use the equipment in a safe and respectful manner.

Please ensure that no food, drink, or smoking occurs within one metre of the booth, props, or backdrop setup, as this can cause damage to the equipment.

In the rare instance that a situation arises which compromises the safety of our team or equipment, Prime Booth reserves the right to pause or end the service early. We will always do our best to communicate with you first and resolve any issues calmly and professionally.

6. Equipment Responsibility & Liability

Where equipment is delivered and left unattended (drop-off hire), you accept full responsibility for all equipment from the time of delivery until collection, including overnight if applicable.

You are liable for any damage, loss, theft, or misuse caused by guests or venue staff. This includes any impact on future bookings (for example, if a backdrop is damaged and cannot be used at a subsequent event). In such cases, you may be charged for repair, replacement, and any resulting loss of business.

Please note: Uploads to social media platforms (e.g. Instagram, Facebook) are subject to the availability and functionality of those platforms. While we do our best to enable instant sharing, we cannot guarantee uploads if third-party services are down or change their settings.

7. Use of Photos & Content

By signing this contract and using our services, you grant Prime Booth permission to use photographs and videos captured at your event for promotional, marketing, and business purposes, including social media, websites, printed materials, and advertisements.

If you do not wish us to use your images in this way, you must notify us in writing before the event date.

8. Data Protection & GDPR

We comply with UK GDPR regulations and store guest photos securely.

Clients must ensure that all guests, especially minors, are aware that photos may be taken and shared.

Digital content is retained for 3 months post-event; retrieval thereafter is not guaranteed.

9. Force Majeure

We are not liable for delays or non-performance due to circumstances beyond our control (e.g. severe weather, illness, power failure). In such cases, we will aim to reschedule or offer a partial refund.

10. Limitation of Liability

Our maximum liability is limited to the total amount paid for the booking.

We are not liable for indirect, consequential, or business losses, including loss of reputation or profit.

11. Governing Law

These terms are governed by and construed in accordance with the laws of England and Wales.

Any disputes shall be subject to the exclusive jurisdiction of the English courts.

12. Acceptance of Terms

By paying a deposit and/or signing the booking agreement, you confirm that you have read, understood, and accepted these Terms and Conditions in full.
